Our client, a leader in contract laboratory services, regulatory guidance and supply chain assurance within the pharmaceutical and biopharma industry is hiring for an Administrative Assistant. Description
Provide general administrative support including typing, data entry, copying, filing, mailing/shipping, and other administrative duties

  • Prepare, assemble, and format client and internal reports, documents, correspondences, and procedures
  • Perform document creation and workflow publishing to ensure the most recent version of all procedures and client provided documents are available in ETQ
  • Maintain the Corporate Archives to ensure all regulated materials are properly archived and available upon request
  • Perform administration for the Corporate Archive filing system
  • Perform the Quality Systems data administration
  • Responsible for telephone and reception duties including greeting visitors
  • Provide information to customers regarding sample status and related information
  • Sort and distribute mail
  • Order and maintain inventory of commonly used office and kitchen supplies
  • Perform Project Management Administration
  • Assist with supporting all internal, client, vendor, and regulatory audit administration
  • Assist will all employee training administration
  • Assist with HR administration for the site
  • Maintain c conference room schedules
  • Provide administrative support to other departments as needed
  • Write, revise, and review AP/SOP’s related to job function
  • Proficient with common PC based applications and specifically in the use of MS Office
  • Has higher level user skills with MS Word, Excel, PowerPoint, and Outlook
  • Knowledgeable in us of LIMS, ERQ, and MS Access
  • Ability to type 50+wpm
  • Has knowledge of commonly used concepts, practices, procedures, and record retention regulations
  • Primary job functions require a certain degree of independent cand judgment
  • Work under general supervision
  • Perform other duties or special projects as required or as assigned

 

Knowledge, Skills, and Abilities

  • Knowledge of document control & business administration, demonstrated through HS degree, AS and/or BA/BS degree, or 1-4 years related experience in a business setting
  • Organization, communication, and analytical skills
  • Ability to understand and effectively communicate technical and business information, both oral and written to others, including co-workers, supervisors, subordinates, clients, and vendors
  • Basic mathematical skills including addition, subtraction, multiplication, division, fractions, and percent
  • Ability to define problems, collect data, establish facts, and draw valid conclusions
  • Ability to work varied and extended hours/days, as business dictates
